Event merchandise kitting should start with a clear definition of every set: which items it contains, which variations apply, how it is labeled, how many completed sets are required and how the finished kits will be prepared for shipment. Kitting requirements should be confirmed as part of the order scope, including the contents of each set and the applicable labeling instructions. This page covers pre-delivery preparation, not onsite distribution.

Who this kitting service is for

This service is intended for B2B event merchandise projects in which several products need to be grouped into repeatable sets before shipment. A project may have one kit type or several, such as different sets for participants, staff, volunteers, VIP guests or campaign teams.

The buyer should be able to define who receives each kit and what belongs in it. If sizes, colors or item versions vary between groups, those differences also need to be included in the instructions. For a broader view of related services, see USTAR's custom event merchandise solutions. Race-specific buyers can also review the marathon and race event kits page.

Define each kit before assembly

A kitting instruction does not need to be complicated, but it must distinguish one finished set from another. The following fields provide a practical starting point. They can be adapted to the buyer's existing order format.

The examples above illustrate the level of clarity needed; they are not fixed USTAR system fields or universal requirements. The actual instruction should reflect the products and packing method agreed for the order.

Kitting is a project-specific service and should be included in the confirmed order scope. Requirements added after order confirmation may require a revised quotation based on the additional work involved.

Confirm a reference set before full kitting

Before full kitting begins, USTAR confirms a reference set with the customer through photos and written instructions.

The reference check should make the approved combination easy to recognize. The buyer should verify the items and quantities in one set, relevant variations, label placement and the agreed packing arrangement. Photos help show the physical result, while the written instruction records details that may not be clear from an image alone.

If the buyer changes the contents, label or packing instruction after confirmation, the reference approval should be updated before the revised requirement is applied to the remaining sets.

Check finished quantities and label matches

Before shipment, the completed set quantities and label matches are checked against the approved instructions.

For this check, the approved instruction should make two questions answerable:

  • Has the required number of sets been completed for each kit type?

  • Does the label applied to each set match the approved kit instruction?

Other packing or carton checks should only be treated as part of the service when they are specifically confirmed for the order. The quantity and label check is a control point, not a zero-error guarantee.

Plan the shipping handover

After kitting, the order can be shipped through the customer's appointed freight forwarder or a logistics route agreed for the order.

The buyer should identify the preferred route, the handover contact or destination, the required date and any relevant shipping instructions. These details determine how the completed kits move into the next logistics stage. They do not expand this service into warehousing, direct-to-recipient mailing, customs clearance or event-site distribution.

Buyers who are still evaluating the broader project relationship can also review the guide to choosing an event merchandise supplier.
